Corporate car service built for the people who approve the invoices
The traveler in the back seat is rarely the person who judges a ground-transport program. That judgment belongs to a travel manager, an executive assistant, a finance controller or a head of security, and each of them asks a different question. Did the car arrive? Can I see who traveled where? Does the statement match the bookings? Will anyone be embarrassed in front of a client?
Corporate car service at LimousineWorldwideDirectory.com is designed around those four questions. Behind every account sits a booking desk, staffed around the clock. Local chauffeur operators from our worldwide directory drive the cars, each one vetted, licensed and commercially insured, while our desk books, confirms and invoices every trip. One booking process, one confirmation format and one monthly statement cover a visit to a single city or a program across several continents.
This page explains how a corporate account works day to day, what the desk handles for you, and where a private car is the right tool for business travel and where it is not.
What is a corporate car service?

A corporate car service provides professional chauffeurs and late-model vehicles for business travel, billed to a company account rather than paid ride by ride. Companies book airport transfers, client pickups, roadshows and hourly service through one provider and receive consolidated monthly invoices.
A corporate limo service and a corporate car service are the same thing in practice. The word "limo" survives in search habits, while the vehicles are mostly sedans, SUVs and vans. What distinguishes the corporate version is the account structure behind the ride: who may book, how bookings are labelled, how they are invoiced, and who answers at 2 a.m.
How a corporate account works
An account is a set of agreements about people and paperwork, not a different kind of car. Typical building blocks:
- Authorized bookers. Travel managers and assistants book on behalf of colleagues. Individual executives can also book their own rides inside the same account.
- Booking references. A cost centre, project code or purchase order number given at booking travels with the ride so that the invoice can be allocated without a manual search through email.
- Monthly invoicing. Rides taken during the month appear on one statement, including rides in different countries. Your finance team reconciles one document instead of dozens of receipts.
- Fixed fares. The online booker shows the exact fare for the exact addresses and vehicle class before the booking is confirmed. Nothing is renegotiated after the ride.
- A single point of contact. The same 24/7 desk answers a Monday morning question from London and a Saturday night problem from Singapore.
To open an account, use the contact page and ask for corporate terms. For a one-off business trip, the online booker works without an account.
Duty of care: what a company reasonably asks from a ground provider
Employers owe their travelers a sensible level of care, and ground transport is where many trips feel risk most directly: an unknown driver at night, a vehicle that is not what was promised, a pickup point nobody confirmed.
Standards bodies treat this as part of travel risk management. ISO 31030:2021, Managing travel risks: Guidance for organizations, gives employers a structure for identifying and treating the risks of business travel. It applies to organizations of any size and excludes leisure travel. You can read the committee's description on the ISO technical committee page. The standard is guidance, not a product we can certify against, and we make no claim that using our service makes a company compliant with anything.
What we can say plainly is what a corporate ground program should contain, and how we deliver it:
- Vetted operators. Every operator in the directory is licensed in its own city or country and carries commercial insurance. Licensing is a real requirement in many places. In New York City, for example, the Taxi & Limousine Commission licenses drivers, bases and vehicles; see the NYC TLC for the framework.
- Professional chauffeurs and maintained vehicles. Chauffeurs are experienced professionals. Cars are late-model, fully maintained and inspected, and no more than 4 model years old (7 for Rolls-Royce, Bentley and Maybach).
- Flight tracking. Every airport pickup is tracked. The chauffeur sees delays, so a traveler who lands three hours late is still met.
- A 24/7 human desk. When something changes, a person acts on it. There is no ticket queue for a missed connection.
- Confirmed details. The confirmation names the vehicle class, the meeting point and the time. The chauffeur holds a name board on request, with an alias if you prefer.
Ours is a chauffeur service, not a security company, and we supply no armed drivers or bodyguards. If your company has a security team, our chauffeur works alongside it.
Corporate use cases, one by one
Most corporate accounts mix several kinds of ride. Here is how each behaves.

Airport transfers for executives and clients
The most frequent booking. Flight tracking is included, international arrivals receive 60 minutes of free waiting after landing and domestic arrivals 30 minutes. A name-board meet-and-greet inside arrivals can be added; the meet and greet service page explains how it differs by airport. Browse airport pages for terminal-level detail.
Hourly service for a full day of meetings
When the schedule has five stops and no gap for a taxi queue, a car and driver at your disposal removes friction. Minimums vary by city and are stated in the booker before you confirm. See chauffeur by the hour.
Roadshows, investor days and conferences
Investor roadshows move a management team through several cities in a few days, with a tight run sheet and no tolerance for lateness. Our desk books every city on one itinerary. Related pages: roadshow car service, conference transportation and event transportation.
Group movements
A delegation of ten arriving on one flight needs one Executive Sprinter (Mercedes-Benz Sprinter, 12 to 14 passengers, 12 bags) or two Luxury SUVs, not ten sedans. See Sprinter van with driver.
City-to-city business trips
A private car makes sense for a team that carries equipment or works in the vehicle, and not always otherwise. Our long-distance car service page puts numbers on that choice.
Client entertainment and VIP guests
Guests judge your company by the first car they step into. For senior visitors and public figures, see VIP and celebrity chauffeur.
How a corporate car compares with the usual alternatives
Be honest with finance and travelers: a chauffeur is not always the right answer. This comparison covers the choices that a travel policy usually weighs.
| Option | Typical use | Cost note | Best for | Weak point |
|---|---|---|---|---|
| Metered taxi | Quick local hops | Metered | Short, unplanned trips | Varies by driver and city; no advance confirmation |
| Rideshare | On-demand local rides | Surge-priced at peak | Casual short trips | Price and availability change with demand |
| Public transit or train | Airport links and city-to-city | Lowest | Solo travelers with light bags | Fixed schedule; no door-to-door |
| Rental car | Multi-day independent travel | Daily rate plus fuel and parking | Travelers who want to drive | Fatigue, parking, unfamiliar roads |
| Corporate chauffeur | Scheduled, high-stakes, luggage-heavy trips | Fixed fare via the booker | Executives, clients, groups | More than a train for a solo traveler with no luggage |
If your policy lets a junior employee take the train from the airport, that is often correct. The value of a corporate car is highest when time, privacy, reliability and presentation matter more than the lowest ticket price.
Worldwide coverage, one standard
A multinational program needs the same behavior in every city. The vehicle classes carry the same names everywhere, with models varying by market and always "or similar":
Four classes cover most corporate needs. The Executive Sedan (Mercedes-Benz E-Class, Cadillac CT6/Lyriq or similar) carries 3 passengers with 2 large and 2 cabin bags. The First Class Sedan (Mercedes-Benz S-Class, BMW 7 Series or similar) has the same capacity with a higher level of finish. The Luxury SUV (Cadillac Escalade, Chevrolet Suburban, GMC Yukon Denali or similar) takes up to 6 passengers and 5 to 6 large bags, and the Executive Sprinter (Mercedes-Benz Sprinter) takes 12 to 14 passengers and 12 bags.
Stretch limousines, mini-coaches and coaches can be arranged on request. Maybach, Rolls-Royce and Bentley vehicles can be requested with availability confirmed at booking. In Europe and Asia, expect Mercedes-Benz E-Class, S-Class and V-Class vehicles. See the fleet page.
Coverage is organized by region. Start from the directory or open the pages for North America, Europe, the Middle East and Asia-Pacific. For a deeper view of the multi-country workflow, read about global chauffeur service. Inside the USA we use US-licensed operators; cross-border trips follow local cabotage rules.
Local rules that affect a business trip
A corporate program should assume that city rules will change an itinerary and plan around them. London offers a good illustration. Central London charges a Congestion Charge on weekdays from 7:00 to 18:00, and on weekends and bank holidays from 12:00 to 18:00. As of 2026 Transport for London lists the daily charge at £18. A chauffeur who works there every day builds the pickup point and the route around the zone, which is one of many local details a visiting executive should not have to research. The official page is TfL Congestion Charge.

Similar rules exist in many cities, and the booking desk passes the relevant ones to the operator.
Privacy and discretion on company business
Executives talk in cars. Calls about financing, mergers, personnel and legal issues happen in the back seat, and the chauffeur sits three feet away. Our standard is simple. Chauffeurs do not take photographs of clients or post about trips. NDAs are signed on request. Alias bookings keep an executive's name off a name board in a crowded arrivals hall.
For particularly sensitive travel, such as a pre-announcement acquisition visit, ask the desk to assign continuity, so the same chauffeur serves the trip from the airport to the final meeting. Continuity cannot be guaranteed in every city on every date, but the request is recorded and honored where the operator can.
Setting up a corporate program in five steps
- List your travelers and your cities. Which executives travel, and where do they go most often?
- Choose authorized bookers. Usually two or three assistants and a travel manager.
- Decide on booking references. Cost centre, project code or purchase order, whichever your finance team prefers.
- Set the policy for vehicle class. For example, First Class Sedan for the C-suite and Executive Sedan for everyone else, with an SUV or Sprinter for groups.
- Test one booking. Book a real airport transfer, review the confirmation and invoice entry, and adjust the process before the program scales.
Cancellation and changes
Business plans change, and the cancellation policy is fixed so that finance can predict it. Counted back from the scheduled pickup time, notice of more than 72 hours carries no charge; 72 hours or less costs 10%; 48 hours or less, 50%; and 24 hours or less or a no-show, 100%. Events with many vehicles may have their own deadline, which appears on the confirmation.
Travel agents, concierges and tourist offices
Corporate travel often flows through intermediaries. Travel agents, destination management companies, hotel concierges and tourist offices can all hold trade accounts. A travel management company can book a client's ground program through our desk, while hotel concierges can arrange a guest's departure transfer. Details for agencies appear on travel trade, and for hotels on hotel concierge bookings. Official tourist offices and visitor bureaus can book chauffeur services for their visitors with LimousineWorldwideDirectory.com through a trade account.
Frequently asked questions
What is the difference between a corporate car service and a limo service?
In practice, little. A corporate car service is a chauffeur service billed to a company account. The vehicles may be sedans, SUVs or vans as well as limousines. The distinction is the account structure, with authorized bookers, references and monthly invoicing. For occasion-based rides, see limo service.
Can my company get one invoice for rides in different countries?
Yes. Corporate accounts receive monthly invoicing, and rides delivered by local operators in different countries appear on the same statement. The desk books, confirms and invoices every ride, so finance receives one document.
How do I add a cost centre or purchase order to a booking?
Give the reference when you book or when you set up the account. It is recorded with the ride and used for invoicing. Ask the desk through the contact page about the format your finance team needs.
Do corporate bookings still show the exact fare before I confirm?
Yes. The online booker shows the exact fare for the exact addresses and vehicle class before you confirm. We do not publish rate cards, because the fare depends on route, date and vehicle.
What happens if an executive's flight is delayed?
Flight tracking applies to every airport pickup. The chauffeur sees the new landing time. International arrivals receive 60 minutes of free waiting after landing, domestic arrivals 30 minutes, and other pickups 15 minutes.
Are your chauffeurs vetted and are the cars insured?
Rides are delivered by vetted, licensed and commercially insured local chauffeur operators from our worldwide directory. Chauffeurs are experienced professionals, and vehicles are late-model, fully maintained and inspected.
Can you provide security or armed drivers?
No. Security is not what we sell: we provide no armed drivers and no bodyguards. A client's own security team can work alongside our chauffeur.
Can a travel agency or hotel concierge book for its guests?
Yes. Travel agents, destination management companies, hotel concierges and tourist offices can hold trade accounts. Each booking is confirmed and invoiced by the same 24/7 desk.
