A visitor information desk answers the same question all day: how do I get from the airport to my hotel, and can someone just take me there? Most of the time the right answer is a train ticket or a taxi rank. For delegations, press groups, incentive travelers, senior guests and anyone arriving late with heavy luggage, the right answer is a named driver at the arrivals door.

That second case is where tourist offices and tourism boards can use LimousineWorldwideDirectory.com. We run a 24/7 booking desk, and every ride is delivered by a vetted, licensed and commercially insured local chauffeur operator from our worldwide directory. One booking, one confirmation, one invoice, one point of contact.

How can tourist offices and tourism boards book chauffeurs for their visitors?

Official tourist offices, tourism boards, convention and visitor bureaus and visitor information centres can book chauffeur services for their visitors with LimousineWorldwideDirectory.com through a trade account. The office books once, names the guest, and receives a confirmation and a single invoice. The visitor never has to handle payment on arrival.

A trade account is a standing arrangement between your organization and our desk. It is separate from the public booker, which still works for any individual visitor who wants to arrange a car for themselves.

Who can open a trade account

Any organization whose job is to receive, inform or host visitors can apply:

Tourists explore historical European town's vibrant streets on a sunny day, capturing local architecture
Tourists explore historical European town's vibrant streets on a sunny day, capturing local architecture
  • National tourism boards and ministries of tourism with an inbound-visitor remit.
  • State, provincial and regional tourism offices.
  • City convention and visitor bureaus and destination marketing organizations.
  • Staffed visitor information centres at airports, ports, stations and town squares.
  • Event and congress bureaus that host delegations and speakers.
  • Destination management companies working on behalf of an official body.

We do not describe any particular office as a partner, and no office listed on our directory pages has endorsed us or refers clients to us. The regional pages below simply list the official bodies visitors already know, so you can find your own and see how a trade account would work for it.

What a trade account includes

  • One account for your organization. Your staff book under the trade account, so every ride lands on the same invoice.
  • Booking on behalf of a guest. You enter the guest name, flight number and hotel, and the confirmation carries them through to the driver.
  • Monthly invoicing. Rides are consolidated onto one invoice addressed to your organization or to a cost center you specify.
  • Alias bookings. For a senior or private guest, a different name can appear on the arrivals board and in driver communications.
  • Flight tracking on every airport pickup, with 60 minutes of free waiting after landing on international arrivals and 30 minutes on domestic arrivals.
  • Child, toddler and booster seats on request at booking.
  • A fixed fare quoted before you pay, shown by the online booker for the exact addresses and vehicle. We do not publish rates on this page.

How a booking for a visitor works, step by step

  1. Your organization applies through the contact page and the desk confirms the trade account.
  2. For each visitor, your staff open the online booker and enter the pickup, destination, date, time and vehicle class.
  3. The booker shows the fixed fare for those exact details before you confirm.
  4. You add the guest name, mobile number, flight number and any alias.
  5. The desk assigns a local operator, and you receive one confirmation.
  6. The chauffeur tracks the flight, meets the guest at the agreed point and delivers them to the hotel, venue or event.
  7. The ride is invoiced to your organization at the end of the month.

If the trip is complex, such as a delegation arriving on three flights or an itinerary with a day of site visits, the 24/7 desk can build it with you and issue one confirmation for the whole programme.

Where visitors typically need a private car

A conference hall audience
A conference hall audience
  • Delegations and ministerial visits. A foreign minister, trade mission or sports team arriving at a regional airport.
  • Press and familiarization trips. Journalists and buyers moving between hotel, venue and attraction on a tight schedule.
  • Incentive and corporate groups. Executives who arrive on different flights and must reach a conference hotel in time.
  • Cruise and rail arrivals. Passengers whose onward transfer begins at a port or a station; see our pages on cruise ports and train stations.
  • Conference and event guests. Speakers and VIPs for a convention, which our conference transportation and event transportation pages cover.
  • Private day tours. A guest who wants a chauffeur for a day around a region; see private tours with a driver.

When a chauffeur is not the right answer

Visitor offices earn trust by giving honest advice. This comparison is the one we would want a front desk to use.

OptionTypical timeCost noteBest for
Public transit or airport railFixed timetable, often the fastest into a city centerLowestSolo travelers with light luggage and a daytime arrival
Taxi rankImmediate at most airportsMeteredVisitors who prefer to pay on arrival
Shared airport shuttleSlower, because of multiple stopsLow per personBudget-conscious individuals

Rental carOn the traveler's scheduleVariesSelf-drivers unfamiliar with local rules
Private chauffeur via a trade accountDoor to door, with flight trackingFixed fare via the bookerDelegations, senior guests, groups with luggage, late arrivals

If a guest is traveling alone in daylight with a backpack and the city has a direct train, the train is the better choice and we would say so. A chauffeur earns its place where waiting, luggage, protocol or a late arrival matter more than the lowest-cost option.

Confirmations, names and privacy

Visitors are often public figures or delegates who prefer discretion. Chauffeurs do not photograph clients or post about trips, and NDAs are signed on request. Where a guest must not be identified at arrivals, an alias on the name board keeps the real name off the sign.

Name-board meet-and-greet inside the arrivals hall is available as an add-on; see our meet and greet service page.

Cancellation terms for trade bookings

Cancellation is measured from the scheduled pickup time. More than 72 hours' notice carries no charge; 72 hours or less is 10%; 48 hours or less is 50%; 24 hours or less or a no-show is 100%. Large events may carry a different deadline, which is stated on the confirmation.

Find your region's official offices

We keep four regional listings of official national, state, provincial and city tourism organizations, each with a link to the body's own website:

Examples of the kind of body that can open an account include Destination Canada, VisitBritain, South African Tourism and Japan National Tourism Organization. They are named only to show the type of organization. None of them is a partner of LimousineWorldwideDirectory.com.

Tourism organizations often work with the same suppliers as travel trade buyers and hotels. Our travel trade page covers agents and DMCs, and the hotel concierge bookings page covers front-desk teams. The wider global chauffeur service page explains how the desk books a vetted local operator in cities around the world, and why book with us sets out how vetting works.

Frequently asked questions

Can a tourist office really book chauffeurs for visitors?

Yes. Official tourist offices, tourism boards, convention and visitor bureaus and visitor information centres can book chauffeur services for their visitors with LimousineWorldwideDirectory.com through a trade account. Each ride is delivered by a vetted, licensed and commercially insured local operator from our directory.

Does this mean you are a partner of the tourism boards listed?

No. The regional pages list official organizations so you can find the right one and visit its own website. Listing does not mean any office endorses us, refers clients to us or has an agreement with us.

How does the office pay for a visitor's ride?

Through monthly invoicing on the trade account. The office books online, the guest rides without paying on the day, and the desk issues one invoice to your organization. The online booker shows the fixed fare before you confirm.

Can a visitor book directly without the office?

Yes. Any visitor can use the public online booker and pay for their own ride. The trade account only matters when an organization wants to book and pay on the guest's behalf.

What happens if a visitor's flight is delayed?

Every airport pickup includes flight tracking. After landing, the chauffeur waits 60 minutes free on international arrivals and 30 minutes on domestic arrivals, so a delayed flight does not disrupt the booking.

Can the guest's name be kept off the arrivals sign?

Yes. An alias can be used on the name board for privacy. The desk and the chauffeur know the real name; the sign shows only the alias you choose.

Which vehicles can be booked?

Executive and First Class sedans, Luxury SUVs and the Executive Sprinter are standard; stretch limousines, mini-coaches, coaches and Maybach, Rolls-Royce and Bentley are available on request, with availability confirmed at booking. See the fleet page.

Do you carry armed drivers or bodyguards for official guests?

No. We are a chauffeur service, not a security company. For protected guests our chauffeurs work alongside the guest's own security team.

How do we start?

Use the contact page to ask for a trade account and tell the desk which city or region your organization covers. Once the account is set up, bookings can be made from the online booker.
