The concierge desk is where a hotel stay is won or lost. A guest who asks for a car at ten at night and sees it at the door at ten past has been given something no amenity list can promise. A guest who is told to wait for a taxi is not.
LimousineWorldwideDirectory.com gives concierges a way to say yes without owning a fleet or keeping a book of local drivers. We run a 24/7 booking desk. Every ride is delivered by a vetted, licensed and commercially insured local chauffeur operator from our worldwide directory, and booked, confirmed and invoiced by our desk. The concierge books once, the guest rides, and the hotel receives one invoice.
How can a hotel concierge book a car service for a guest?
A hotel concierge opens a trade account, enters the guest's name, pickup, destination and flight in the online booker, sees the fixed fare before confirming, and receives one confirmation. A vetted local chauffeur operator delivers the ride, and the invoice goes to the hotel, not the guest, when the account is set up that way.
This page is for hotel front desks, private and lifestyle concierges, residential building concierges and executive assistants who book for others. For travel agencies and DMCs, see the travel trade page; for official visitor offices, see the tourist offices overview.
Who books this way

- Hotel concierge and front-office teams who arrange arrivals, departures and evening cars.
- Private concierges who manage lifestyle requests for individual clients or members.
- Residential concierges in apartment buildings with frequent guests.
- Executive assistants booking for principals who travel often.
- Wedding and events teams inside hotels that host celebrations; see wedding limo service.
- Family offices that want a consistent standard for several people; see HNWI and family office chauffeur.
What the account gives a concierge desk
- One point of contact, 24/7, for changes, delays and urgent requests.
- A fixed fare quoted before you pay. The booker displays the fare for the exact addresses and vehicle. We do not publish rates on this site.
- Monthly invoicing to the hotel or the concierge company, so nothing is charged to the guest at the curb.
- Flight tracking on airport pickups. After landing, free waiting is 60 minutes on international arrivals, 30 minutes on domestic arrivals, and 15 minutes on other pickups.
- Name-board meet-and-greet inside arrivals as an add-on.
- Alias bookings for guests who should not be named on the board or in driver communications.
- Child, toddler and booster seats on request at booking.
- Water and phone chargers in most vehicles.
How guest names and confirmations work
Two people appear on every booking: the one who books and the one who rides. A concierge should enter the guest's name as the passenger and the guest's mobile number if the guest agrees to share it, so the chauffeur can reach the right person at the curb. The confirmation carries the pickup time, the address, the vehicle class and the booking details; the concierge keeps the confirmation, and can pass it to the guest if useful.
Privacy comes next. For a guest who prefers anonymity, an alias goes on the name board. The desk knows the real name; the sign shows only the alias. Chauffeurs do not photograph clients or post about trips, and NDAs are signed on request. The concierge should not write a high-profile guest's name in a hotel email thread that other staff can read. Share it only with those who need it.
Booking an evening car or an arrival
- Ask the guest for the destination, the time and the number of passengers.
- If it is an arrival, ask for the flight number and the guest's mobile phone.
- Choose a vehicle class. A couple with two cases suits a sedan; four with ski bags suit a Luxury SUV.
- Enter the details in the online booker and read the fare.
- Confirm, and keep the booking reference at the desk.
- Brief the doorman on the vehicle class and the time so the car is met at the door.
- Call the desk if the guest changes plans; flight tracking handles delayed landings automatically.

The hotel lobby: what a guest actually has
Concierges are asked to be honest advisers. This is the comparison to keep at the desk.
| Option | Typical time | Cost note | Best for |
|---|---|---|---|
| Doorman-hailed taxi | Immediate at busy hotels | Metered | Short city trips |
| Hotel house car | By arrangement | Set by the hotel | Hotels that run their own fleet |
| Airport rail or express train | Fixed timetable | Lowest | Light-luggage guests who want speed |
| Rideshare | Varies with demand | Surge-priced at peak | Guests who prefer an app |
| Shared airport shuttle | Slower | Low per person | Budget travelers |
| Private chauffeur via a concierge account | Door to door with flight tracking | Fixed fare via the booker | Late arrivals, luggage, protocol, evening events |
If a taxi rank outside the door will do the job, say so. A chauffeur is the right recommendation when a guest has a flight to catch, a client to impress, or a long ride ahead.
Evening cars, dinners and event nights
Evening requests are different from airport work. The guest is not on a flight, so there is no tracking to adjust the time; the car is simply at the door at the agreed minute. On pickups other than airport arrivals, the free waiting time is 15 minutes, so tell the guest to be ready at the lobby on time. For an evening with several stops, such as a dinner, a show and a late return, book by the hour instead of by the trip; the hourly chauffeur service page explains how.
For gala dinners, product launches and conferences hosted in the hotel, the concierge can coordinate a shuttle plan for guests. A group of twelve to fourteen with limited luggage suits an Executive Sprinter, while a larger party suits a mini-coach or coach on request. See event transportation for how those moves are organized.
A checklist for the concierge desk
Print this and keep it at the stand:

- Guest name, or alias, and a mobile number the chauffeur can call.
- Pickup address, including the hotel entrance and any private road or gate.
- Destination, including the terminal for an airport run.
- Date, time and the number of passengers with luggage.
- Flight number for arrivals.
- Child, toddler or booster seat needs.
- Any request for name-board meet-and-greet.
- Who is paying, and which invoice it goes on.
- Booking reference noted on the guest's file.
Handling a high-profile guest
Some guests need more care than others. A performer, a diplomat or a company chairman may prefer not to be named on any document that others can read. The concierge can book with an alias, keep the real name inside the desk's own records and ask the guest to say who may be told. Chauffeurs do not photograph clients or post about trips. Where the guest travels with a protection team, our chauffeurs work alongside it, and the team can brief the driver on door positions. Our VIP and celebrity chauffeur page covers these arrivals in more detail.
Airport arrival and departure notes
Departures are where timing matters most. The concierge should ask for the airline and terminal, and follow the airline's guidance on check-in. A chauffeur should be booked to leave early enough to absorb traffic. Airport rules for pickups vary: the airport authority sets where cars may stop, and these rules change. Check the official sites for the airports you serve most: Heathrow, JFK, Paris Aéroport and Dubai Airports each publish passenger information, including how to reach the terminals.
Some typical distances help a concierge set expectations. Heathrow is about 24 km (15 miles) from central London, usually 45 to 60 minutes. Paris Charles de Gaulle is about 25 to 30 km (16 to 19 miles) from central Paris, normally 45 to 60 minutes. Dubai International is about 15 km (9 miles) from downtown, commonly 20 to 35 minutes. New York JFK is about 24 km (15 miles) from Midtown Manhattan, 45 to 75 minutes depending on traffic. See the city pages for London, Paris, Dubai and New York.
Vehicles a concierge can offer
All vehicles are late-model, fully maintained and inspected, no more than four model years old (Rolls-Royce, Bentley and Maybach up to seven). The exact model is confirmed at booking.
- Executive Sedan: Mercedes-Benz E-Class, Cadillac CT6 or Lyriq or similar; up to three passengers, two large and two cabin bags.
- First Class Sedan: Mercedes-Benz S-Class, BMW 7 Series or similar; up to three, two large and two cabin bags.
- Luxury SUV: Cadillac Escalade, Chevrolet Suburban, GMC Yukon Denali or similar; up to six, five or six large bags.
- Executive Sprinter: Mercedes-Benz Sprinter; up to 12 to 14 passengers and 12 bags.
Stretch limousines, mini-coaches and coaches are available on request. Maybach, Rolls-Royce and Bentley are offered on request, with availability confirmed at booking. In Europe and Asia, quote Mercedes-Benz E-Class, S-Class and V-Class. See the fleet page.
What to avoid promising a guest
- Alcohol on board. Local law applies, so do not promise drinks.
- Security. We are a chauffeur service, not a security company. There are no armed drivers and no bodyguards; we work alongside a guest's own security team.
- Guiding. A chauffeur drives and suggests stops but is not a licensed guide. Where a site requires or recommends a guide, tell the guest.
- A specific car. Models are "or similar".
Changes and cancellations
Concierges handle changing plans all day. The cancellation terms apply from the scheduled pickup time: more than 72 hours' notice carries no charge, 72 hours or less carries 10%, 48 hours or less carries 50%, and 24 hours or less or a no-show carries 100%. Large events may carry a different deadline, stated on the confirmation. Tell the guest the terms before you book on their behalf, or agree internally who bears the charge if the hotel pays.
