What is trade show transportation?
Trade show transportation is pre-booked ground travel for people attending an exhibition or conference: airport transfers, hotel-to-venue shuttles by car, exhibitor set-up runs and evening events. LimousineWorldwideDirectory.com books a vetted local chauffeur operator and invoices once.
Trade shows concentrate thousands of travelers into a few days and a few streets. Hotels fill, shuttles queue, ride-hailing prices move and the venue's perimeter becomes a bottleneck at the opening and closing of each day. For a company sending executives, directors or a stand team, the practical question is how to keep the travelers on time without assigning someone to manage every journey.
LimousineWorldwideDirectory.com runs a 24/7 booking desk. Every ride is delivered by a vetted, licensed and commercially insured local chauffeur operator from our worldwide directory, and booked, confirmed and invoiced by our desk. One booking, one confirmation, one invoice and one point of contact. For companies, corporate accounts with monthly invoicing mean one statement for the whole show.
Conference car service for delegates and executives
Delegates have a predictable set of needs, and a conference car service is built around them.

- Airport arrival. Flights cluster the day before and the morning of opening day. Flight tracking is included on every airport pickup, so the chauffeur is positioned for the actual landing. Waiting time after landing is 60 minutes free on international arrivals and 30 minutes on domestic arrivals.
- Hotel to venue. The route between a hotel and the venue is rarely straightforward on a show day. The chauffeur operator knows the approach roads, the drop-off points and the restricted zones, and plans the pickup accordingly.
- Meetings off site. Executives often leave the venue for client lunches, investor meetings or dinners. An hourly chauffeur keeps one vehicle on call. See the hourly chauffeur service page.
- Evening events. Receptions and dinners run later than shuttles. A pre-booked car avoids the late-night search for a ride.
- Departure. The last day tends to produce the largest taxi queues. A scheduled pickup removes the queue from the plan.
For executives and speakers, discretion matters. Chauffeurs do not photograph clients or post about trips, NDAs are signed on request, and bookings can be placed under an alias. We are a chauffeur service, not a security company, and we work alongside a client's own security team.
Exhibitor logistics
Exhibitors face a different pattern from delegates. Their days start earlier and end later, and they carry equipment.
- Set-up. Stand builders and exhibitor teams arrive before the show opens. Vehicle access to the venue can be restricted during move-in, so a chauffeur needs to know the entrance and the schedule.
- Show days. Teams travel from hotel to venue early, and some return in the evening for client events. A Luxury SUV or an Executive Sprinter carries a team and its bags in one trip.
- Move-out. The final afternoon is crowded. A confirmed pickup time avoids waiting.
- Samples and small freight. A chauffeur service moves people, not freight. For large shipments, use the show's official logistics partner. For small items that fit in the vehicle with the passengers, tell the desk when you book.
Vehicle classes cover most teams. An Executive Sedan takes up to 3 passengers with 2 large and 2 cabin bags. A First Class Sedan takes up to 3, with the same bag allowance. A Luxury SUV takes up to 6 passengers and 5 to 6 large bags. An Executive Sprinter takes up to 12 to 14 passengers and 12 bags. Mini-coach and coach are available on request, as are stretch limousines, with availability confirmed at booking. Vehicles are "or similar", late-model, fully maintained and inspected, and no more than 4 model years old. In Europe the classes are Mercedes-Benz E-Class, S-Class and V-Class. See the fleet page.
Honest comparison: getting around a trade show city
Show cities usually have good public transport, and sometimes the best answer is simply to use it.
| Option | Typical convenience | Cost note | Best for |
|---|---|---|---|
| Official show shuttle | Runs between main hotels and the venue | Often included with registration | Delegates staying at partner hotels |
| Metro, rail or tram | Predictable on set routes | Lowest | Solo delegates with a station near the hotel |
| Rideshare | Fast off-peak | Surge-priced at opening and closing times | Short trips, loose timing |
| Taxi | Available at ranks | Metered | Spontaneous short trips |
| Private chauffeur | Door to door, timed to your schedule | Fixed fare via the booker | Executives, speakers, teams with luggage, multi-stop days |
If the official shuttle passes your hotel and your schedule is simple, use it. A pre-booked chauffeur earns its place when a day involves several stops, when a speaker has a fixed time on stage, or when a group travels together.

Booking lead times
Trade shows fill hotels months ahead, and vehicles follow. As a practical guide, we recommend booking the car at the same time as the flights and hotel, and for the largest shows, as soon as your travel dates are fixed. Large events may carry a different cancellation deadline, which is stated on your confirmation. Our standard policy, measured from the scheduled pickup time, is: more than 72 hours' notice no charge; 72 hours or less 10%; 48 hours or less 50%; 24 hours or less or no-show 100%.
- Group bookings. If you are sending a team, give the desk the full arrival list. Flights can be combined into shared pickups where it helps, or kept separate for individual executives.
- Delegations. For official delegations with a program, the desk can build one itinerary and one consolidated confirmation.
- Roadshows. A multi-city program, such as a show followed by investor meetings, is easier to manage when one desk holds the whole plan. See roadshow car service.
- Travel agents and DMCs. Trade accounts are available. See the travel trade page.
Planning a show day
A well-planned show day looks like this:
- Airport arrival with flight tracking and a name-board meet-and-greet if you want one. See the airports hub.
- Hotel check-in and a pickup the next morning timed to the first meeting, not just the venue opening.
- Venue drop-off at the right entrance for your badge type, with an agreed pickup point for the return.
- Mid-day moves for off-site meetings, if needed.
- Evening events with a scheduled pickup and a later fallback.
- Departure to the airport or station. See train stations for rail connections.
Hosts of delegations may also be interested in the events hub, which covers sporting and cultural events, and the private aviation hub for executives arriving by business jet.
Frequently asked questions
Can I book a conference car service for several delegates at once?
Yes. Give the desk the arrival list, and it will combine or separate pickups as you prefer. A single confirmation covers the group, and corporate accounts allow a single monthly invoice.
How close can the car get to the venue?
That depends on the venue and the day. Many convention centers have designated drop-off areas, and some restrict access during move-in and move-out. The guide for each show describes the usual arrangement, and the chauffeur operator plans the approach.
Can a chauffeur be on call for the full show day?
Yes. An hourly booking keeps a chauffeur and vehicle with you for the day. See our hourly chauffeur service page for how time is measured.
What if my flight is delayed?
Every airport pickup is flight-tracked. The chauffeur is positioned for your actual arrival, with 60 minutes free after landing on international arrivals and 30 minutes on domestic arrivals.
Can you move exhibition freight?
No. A chauffeur service moves people and their personal luggage. For stand materials and large freight, use the show's official logistics provider.
Are the show dates fixed?
Organizers set the dates and may change them. We list the next confirmed dates from the organizers' sites where available. Always check the organizer and your government's travel advice before you travel.
How much does conference transportation cost?
We do not publish rates on the page. The online booker shows the exact fare for your exact addresses and vehicle before you confirm. It is a fixed fare, quoted before you book.
Do you provide invoices for expenses?
Yes. Every booking is invoiced by our desk, and corporate accounts can receive monthly invoicing for easy reconciliation.
