A wedding day is a timetable, and the car is its most visible part

Most wedding plans fail in small ways that never reach the photographs. The bridal car is eleven minutes late. The shuttle leaves the hotel with eight guests when twenty are waiting. The groom's grandparents land at the airport after the one driver sent to collect them has gone. None of these is a disaster. Together they produce a day in which the couple spends its first hours managing logistics instead of enjoying the occasion.

A wedding limo service exists to take transport off the couple's list of worries. The booking desk, answers 24/7. Local chauffeur operators in our worldwide directory, vetted, licensed and commercially insured, drive the cars; our desk books, confirms and invoices them. For a wedding, that means one booking that covers the bridal car, the shuttles and the airport arrivals, confirmed in writing, with the same desk answering on the day itself.

This page explains how to plan wedding transport for a local wedding and for a destination wedding abroad, and where the pitfalls usually lie.

What is a wedding limo service?

A wedding limo service provides a chauffeur-driven car for the couple and, often, vehicles for the wedding party and guests. It covers the ride to the ceremony, the move to the reception, guest shuttles and airport pickups, usually coordinated on one schedule.

The term "wedding chauffeur service" is used for the same thing. The difference between ordering a single car and a wedding transport plan is the coordination: pickup times for several groups, a route between venues, waiting time at the ceremony and a clear contact for each driver.

The four jobs of wedding transport

Think of the day in four parts, because each part needs a different vehicle and a different kind of planning.

  1. The bridal car. The bride, sometimes with a parent or attendant, travels to the ceremony. Comfort and appearance matter most.
  2. The couple's departure. After the ceremony, the couple leaves for photographs and the reception. Timing matters most.
  3. The wedding party and family. Bridesmaids, groomsmen, parents and grandparents need a ride in groups.
  4. The guests. Shuttles between hotels, ceremony and reception, and a safe ride back at the end of the night.

For destination weddings, add a fifth job: arrivals and departures at the airport in the days before and after.

Choosing the bridal car

A wedding dress changes what makes a good vehicle. Volume, height of the seat and the ease of getting in and out of the door matter as much as the badge on the hood.

  • First Class Sedan (Mercedes-Benz S-Class, BMW 7 Series or similar): up to 3 passengers with 2 large and 2 cabin bags. A quiet, polished car for the bride with a parent.
  • Luxury SUV (Cadillac Escalade, Chevrolet Suburban, GMC Yukon Denali or similar): up to 6 passengers. A higher seat and a wide door suit a full skirt, and the bride can travel with attendants.
  • Maybach, Rolls-Royce and Bentley are available on request, with availability confirmed at booking. These are the classic wedding cars and are in demand on popular dates, so ask early.
  • Stretch limousines are available on request for the wedding party.

In Europe and Asia expect Mercedes-Benz E-Class, S-Class and V-Class vehicles. All vehicles are late-model, fully maintained and inspected: no more than 4 model years old, and Rolls-Royce, Bentley and Maybach up to 7. Models are "or similar" and are confirmed at booking. See the fleet.

Most wedding cars carry water and phone chargers. Alcohol is never promised: local law applies, and a drinks plan belongs with the venue or caterer. Decorations such as ribbons or flowers should be agreed with the desk in advance and must not obscure the driver's view, lights or license plates.

Guest shuttles: the part that decides how the evening ends

A reception with a poor transport plan ends with guests on the curb looking at their phones. The reverse is also true: a clean shuttle plan keeps guests at the party longer and gets them to their beds safely.

Executive Sprinter van, passenger cabin
Executive Sprinter van, passenger cabin

An Executive Sprinter (Mercedes-Benz Sprinter) holds 12 to 14 passengers and 12 bags. Mini-coaches and coaches are available on request for larger groups. For a wedding of 80 guests staying at two hotels, one pattern is a shuttle loop that begins before the ceremony, with a second wave after dinner and a final run at the end of the evening. See Sprinter van with driver and event transportation.

Practical planning for shuttles:

  • Count by hotel. Know how many guests stay in each hotel, and give the desk the list.
  • Schedule loops, not one-off trips. A shuttle that departs every fifteen minutes works better than one that leaves when full.
  • Name a guest contact. A friend or planner who can tell guests where to stand and when the next vehicle arrives.
  • Agree the final departure. The driver needs to know the last run so the last guests are not stranded.
  • Account for the venue's rules. Some venues have narrow lanes, a fixed drop-off point or a limit on vehicle size. Give the desk the venue address and the contact at the venue.

A venue that already offers a shuttle may be enough. If it does not cover all the hotels or the late-night return, a chauffeured shuttle fills the gap.

A sample timeline for a local wedding

The numbers below are an illustration and not a promise. Your own times depend on the venues and the distance between them.

  • Morning. Hair, makeup and photographs at the bride's home or hotel. The bridal car is confirmed with the chauffeur.
  • 90 minutes before the ceremony. The wedding party travels to the ceremony by Executive Sprinter or Luxury SUV.
  • 45 minutes before the ceremony. The bridal car arrives at the pickup point. The chauffeur is at the door with the vehicle ready.
  • Ceremony. The chauffeur waits at the venue. The vehicle is cleaned and ready for the exit.
  • Photographs. The couple travels between photo locations. This is often an hourly booking. See chauffeur by the hour.
  • Reception. Guest shuttles run in loops. The couple arrives last.
  • Departure. The car waits for the couple's exit, and a final guest shuttle runs.

The chauffeur follows the schedule you share. If the ceremony is delayed, tell the desk or the chauffeur as early as you can.

Destination weddings: arrivals, borders and distances

Destination weddings add airports and borders. Guests arrive from several cities on several flights over two or three days, and the family needs to see each one met properly.

Airport arrivals

Every airport pickup includes flight tracking. International arrivals receive 60 minutes of free waiting after landing, domestic arrivals receive 30 minutes and other pickups receive 15 minutes. A name-board meet and greet inside arrivals is available as an add-on, with an alias if the couple prefers. Read about the meet and greet service. Airport pages are indexed at airports.

For a wedding in a place with many arriving guests, group arrivals by flight window. A Luxury SUV takes up to 6 passengers and 5 to 6 large bags. An Executive Sprinter takes 12 to 14 and 12 bags. If two flights land within an hour, one vehicle can wait for both.

Entry rules for guests

Check entry rules for every guest, including children, before they fly. As of 2026:

  • United Kingdom. Many visitors who do not need a visa, including those from the USA, Canada and Europe, need an Electronic Travel Authorisation, and every traveler needs their own, babies and children included. The listed fee is £20. Apply only on GOV.UK.
  • Canada. Visa-exempt foreign nationals flying to Canada need an Electronic Travel Authorization, listed at CAN$7. Details are on the Government of Canada eTA page.

A bride whose parents were refused boarding because of missing authorizations will remember it. Share these links in the wedding website's travel section.

Marriage licenses and timing

Rules for the ceremony differ by place, and the couple's officiant or the local authority is the source. In Las Vegas, for example, the Clark County Marriage License Bureau is open seven days a week from 8 a.m. to midnight, including holidays, which allows a late-evening arrival to get the license before the ceremony. The official page is Clark County Clerk: location and hours. Confirm identity and document requirements with the bureau before you travel. A chauffeur can take the couple to the bureau and wait; see Las Vegas limo service.

Road distances for common wedding routes

Distances between airports and venues decide how many vehicles you need and how early guests must leave.

  • Toronto to Niagara Falls is about 130 km (81 miles) and typically 1.5 to 2 hours by road, which makes it a popular destination for couples and guests based in Toronto. See Niagara Falls limo service and Toronto limo service.
  • Dubai to Abu Dhabi is about 140 km (87 miles) and typically 1 to 1.5 hours on the E11. See Dubai chauffeur service.
  • Rome to Florence is about 275 km (170 miles) and about 3 hours by road, although the high-speed train takes about 1.5 hours. For guests traveling light, the train is the better choice. See Rome chauffeur service.

For longer routes between cities, read about long-distance car service.

Local rules in the wedding city

Cities regulate vehicles differently. London, for instance, applies a Congestion Charge in the central zone on weekdays from 7:00 to 18:00 and on weekends and bank holidays from 12:00 to 18:00, and as of 2026 Transport for London lists the daily charge at £18. A London chauffeur plans the pickup around it. See the TfL page and London chauffeur service. Other wedding cities have comparable rules, and the operator knows them.

Weddings across several countries

Some couples marry in one country and celebrate with family in another, with a civil ceremony at home and a larger party abroad. The booking desk handles both halves under one confirmation format and one invoice, even though the operators differ. Weddings inside the USA use US-licensed operators, and cross-border trips follow local cabotage rules. For the multi-country workflow, read about global chauffeur service.

Working with planners, venues and concierges

Many weddings are organized by a planner. Trade accounts exist for travel agents, destination management companies, hotel concierges and tourist offices, and a wedding planner or DMC can book through the desk on behalf of the couple. Details are on travel trade and hotel concierge bookings. Tourist offices, tourism boards and visitor bureaus can also book chauffeur services for their visitors through a trade account with LimousineWorldwideDirectory.com.

Corporate accounts, with monthly invoicing, suit families that settle wedding costs through a family office. See family office chauffeur service.

Cancellation and weddings

Notice of more than 72 hours before the scheduled pickup time carries no charge. After that the charge is 10% at 72 hours or less, 50% at 48 hours or less and 100% at 24 hours or less or for a no-show. A wedding with many vehicles may fall under a different event deadline, which is stated on the confirmation, so read it carefully.

Frequently asked questions

What is the difference between a wedding limo and a wedding chauffeur service?

They describe the same thing. A wedding chauffeur service provides cars and professional drivers for the day, whether the vehicle is a limousine, a sedan, an SUV or a van. The vehicle is matched to the party.

How far in advance should I book a wedding limo?

As early as your date is fixed, particularly for Maybach, Rolls-Royce and Bentley vehicles, which are available on request with availability confirmed at booking. Popular dates fill first.

Can you transport guests as well as the couple?

Yes. An Executive Sprinter takes 12 to 14 passengers and 12 bags. Mini-coaches and coaches are available on request, and Luxury SUVs take up to 6 passengers.

Can you meet wedding guests at the airport?

Yes. Flight tracking is included on every airport pickup, and a name-board meet and greet is available as an add-on. International arrivals receive 60 minutes of free waiting after landing.

Can you serve a destination wedding abroad?

Yes. Every ride is delivered by a vetted, licensed and commercially insured local operator from our worldwide directory, booked and invoiced by our desk. Browse the directory for regions and cities.

Can we decorate the car?

Decorations should be agreed with the desk in advance. They must not obscure the driver's view, lights or license plates.

Will alcohol be provided in the vehicle?

We never promise drinks on board. Local law applies, and a drinks plan should be arranged with the venue or caterer.

How much does a wedding limo cost?

The online booker shows the exact fare for your addresses and chosen vehicle before you confirm. We do not publish rates: the fare depends on route, date and vehicle class.
