Car, train or plane: a rule of thumb before you book a long distance car service

Most long-distance trips are decided by one number, which is the hours you would spend in the vehicle. Under about two hours on the road, a private car beats nearly everything because the door-to-door advantage dominates. Between about three and five hours, the answer depends on what you carry and whom you travel with. Beyond about six hours, a flight or a fast train usually wins unless something specific, such as equipment, a group or a stop along the way, pushes you toward the road.

A long distance car service is a chauffeur-driven car booked for a city-to-city ride. The desk that handles every booking is open 24/7. Each ride is driven by a vetted, licensed and commercially insured local operator from our worldwide directory and handled end to end, from booking to invoice, by the desk. The online booker shows the exact fare for your pickup, destination and vehicle before you confirm. We do not publish rate cards.

This page gives real distances and drive times for city pairs on several continents, and says plainly when the train or the plane is the better tool.

Black and white of automobile driving on empty asphalt highway along green hills in countryside against cloudless sky in nature

A city-to-city car service is a private chauffeured ride from one city to another, door to door, at a fare quoted before you book. It suits groups, luggage, equipment, work in the back seat or arrivals at hours when trains and flights are not running.

The phrases "long distance limo", "intercity chauffeur" and "city to city car service" all describe the same service. The ride can start at an airport, a hotel, a home or an office, and end at any address in the destination city.

City pairs: distances, drive times and what we would choose

These figures are approximate road distances and typical drive times in normal traffic. They vary with the route, the time of day and the weather, so use them for planning rather than as a promise. The booker uses your exact addresses.

Rail and road figures come from public timetables and mapping tools and change with the schedule. Always confirm the current timetable on the operator's site. For the Canadian corridor, see VIA Rail. For Japan, JR Central operates the Tokaido Shinkansen; see JR Central.

When a private car is the right choice

Not every long trip should go by road. These are the situations where it clearly should.

  • Groups. Four colleagues in one vehicle are together for the journey and can talk, work or prepare. A Luxury SUV (Cadillac Escalade, Chevrolet Suburban, GMC Yukon Denali or similar) takes up to 6 passengers and 5 to 6 large bags. An Executive Sprinter (Mercedes-Benz Sprinter) takes 12 to 14 passengers and 12 bags.
  • Equipment and samples. Trade-show stands, instruments, product samples and film gear do not travel well on trains and are costly to check on flights.
  • Work in the back seat. A First Class Sedan (Mercedes-Benz S-Class, BMW 7 Series or similar) offers a quiet place to take calls for four hours, which a train carriage rarely does.
  • Awkward hours. The last train has left, the first flight is at dawn, or the arrival is at 1 a.m. A private car is available when the timetable is not.
  • Stops in between. A client visit halfway, a family stop, a site inspection.
  • Door-to-door with luggage or mobility needs. Station platforms and airport queues are the hardest parts of a trip with children, elderly relatives or heavy bags.
  • Privacy. Calls, documents and conversations remain in your vehicle, with a chauffeur who does not photograph clients or post about trips.

When the train or flight is genuinely better

We would rather lose a booking than send you on a six-hour drive you will regret.

A high-speed train at the platform
A high-speed train at the platform
  • Solo traveler, light bag, a strong rail corridor. Rome to Florence is about 275 km (170 miles) and about 3 hours by road, but a high-speed train takes about 1.5 hours between city centers. London to Edinburgh is about 650 km (400 miles) and about 7 hours by road, while the fastest LNER trains take around 4 hours. Tokyo to Osaka by Shinkansen is about 2 hours 20 to 2 hours 30 for roughly 515 km (320 miles). In each case, the train is the better choice for one person.
  • Over about 600 km (370 miles) on a clear air route. A flight and a chauffeur at each end is faster than a day in the car.
  • Short city hops with excellent transit. If both ends are served by rail stations, the metro is often the quickest option.

We can still help at the ends. A chauffeur can meet you at the station platform exit or arrivals hall, carry bags and take you to the final address. See train station transfers and the airport pages.

Cross-border long-distance rides

Cities on either side of a border present a special case, because a driver licensed in one country may not be free to carry local passengers in another. Domestic US trips use US-licensed operators, and cross-border trips follow local cabotage rules, as set out above. In practice this means a Toronto-to-New York ride is planned differently from a Toronto-to-Ottawa ride, and the desk confirms the arrangement at booking. If you need a cross-border pickup, tell the desk early.

Border paperwork is the traveler's responsibility. Check entry rules for every passenger before the trip:

  • United States. Visa Waiver Program travelers need an approved ESTA before travel. Apply on the official ESTA site.
  • Canada. Visa-exempt foreign nationals flying into Canada need an Electronic Travel Authorization, listed at CAN$7 as of 2026. See the Government of Canada eTA page.

These requirements change, so confirm them on the government sites above before the day you travel.

A worked example: four colleagues from Toronto to Montreal

Suppose a team of four has a client meeting in Montreal at 14:00 and a presentation case that does not fit in an overhead bin. The road is about 540 km (335 miles), and the drive takes 5.5 to 6 hours in normal conditions. Leaving the office at 07:00 with a Luxury SUV puts the team in Montreal around 13:00, with a buffer for a stop and for the traffic that builds on approach to the city. The colleagues work together in the vehicle on the way and walk in with the presentation ready.

Compare that to VIA Rail at roughly 5 to 5.5 hours: the same four travelers would carry the case through two stations and take taxis at each end. For one traveler with a laptop bag, the train would be the better choice. For this team, the car wins. The return can be booked in the same transaction, with a departure time set by the meeting rather than the timetable.

Planning a long ride: practical points

First Class sedan, rear door
First Class sedan, rear door

Start time

For a journey of four hours or more, start early and keep a buffer. Leaving a big city on a Friday afternoon, or approaching it on a Sunday evening, adds time that no map predicts. The chauffeur will advise on departure times for your route.

Comfort breaks

Plan stops for every two hours or so, especially with children or on routes with limited service stations. Tell the chauffeur in advance if you need a specific stop, such as a hotel lobby or a restaurant with parking.

Luggage

Count the bags honestly. A First Class Sedan takes 2 large and 2 cabin bags. A family of five with luggage needs a Luxury SUV with its 5 to 6 large bags, or two vehicles.

Child seats

Ask for a child, toddler or booster seat at booking and give each child's age and weight so the right one is fitted.

Waiting time

Pickup waiting is 15 minutes on non-airport pickups. For airport pickups, flight tracking is included and international arrivals receive 60 minutes of free waiting after landing (30 minutes on domestic arrivals).

Refreshments

Most vehicles carry water and phone chargers. Drinks are never promised on board; local law applies.

Multi-leg itineraries

Long-distance work seldom stands alone. A typical itinerary might be an airport arrival, a ride to a second city, two nights in a hotel and a return to a different airport. One booking process covers every leg:

  1. Airport arrival: a chauffeur meets the flight, tracked, with a name board if you wish.
  2. City-to-city leg: the same or a different chauffeur takes you across the corridor.
  3. Hourly days: a car at your disposal in the second city. See chauffeur by the hour.
  4. Departure: a pickup at the hotel for the airport or station.

Corporate teams can keep every leg on one monthly invoice. See corporate car service. For a trip that crosses several countries, read about global chauffeur service.

Roadshows and event circuits

Circuits are where long-distance cars earn their keep. A management team on a four-city roadshow, a conference circuit that visits three venues in a week, or a touring group between performances needs a vehicle that matches the timetable. See roadshow car service, conference transportation and event transportation.

Regions and cities

Long-distance rides start and end in the cities covered by the directory. Typical origin and destination pages include New York, Toronto, Montreal, Ottawa, London, Rome, Dubai and Abu Dhabi.

Cancellation

Charges are measured from the scheduled pickup time: no charge with more than 72 hours' notice, 10% at 72 hours or less, 50% at 48 hours or less, and 100% at 24 hours or less or on a no-show. Where a large event applies a different deadline, the confirmation says so.

Frequently asked questions

How far will a chauffeur drive in one booking?

City-to-city rides of several hundred kilometers are routine, subject to local operator licenses and cabotage rules. For very long distances the desk will advise on whether a different mode, a split journey or a second chauffeur makes sense.

How much does a long distance car service cost?

The online booker shows the exact fare for your pickup, destination and vehicle before you confirm. We do not publish rate cards, because the fare depends on route, date and class of vehicle.

Is a car faster than the train from Toronto to Montreal?

Not usually. The road is about 540 km (335 miles) and takes 5.5 to 6 hours, and VIA Rail takes roughly 5 to 5.5 hours. A car is still the better choice for a group, equipment, or travel at hours when trains do not run.

Is it worth driving from London to Edinburgh?

For one traveler, rarely. The drive is about 650 km (400 miles) and about 7 hours, while the fastest trains take around 4 hours. For a group with luggage, or a day that includes a stop on the way, the car can be worth it.

Can the chauffeur take a different route or stop along the way?

Yes. Tell the desk at booking about stops so that timing and fare reflect them. For unplanned stops on the day, the chauffeur will do what is practical within the booking.

Can I book a one-way ride that ends in a different country?

Cross-border rides follow local cabotage rules. The desk will confirm how the ride will be delivered at booking. Check entry requirements for each passenger yourself.

What vehicles are used for long trips?

For comfort, a First Class Sedan (Mercedes-Benz S-Class, BMW 7 Series or similar). For groups and luggage, a Luxury SUV or an Executive Sprinter. Exact models are "or similar" and confirmed at booking. See the fleet.

Do you cover stations as well as airports?

Yes. We meet trains at stations and take passengers onward. See train station transfers.
