Most people picture a meet and greet service at the airport as a single thing: someone holding a card with your name on it. In practice an arrival is a chain of four stages, from the aircraft door to the immigration desk, from the desk to the baggage hall, from the hall to the public arrivals area, and from there to the car. Different people are allowed to work in each stage, and the services sold for them come from different companies.

It matters most to people with a schedule: an executive who lands at 7:40 and presents at 10:00, a family with eight bags, or a high-profile guest whose name should not appear on a sign. This guide walks the chain in order, explains what "fast track" and "VIP service" buy you, and shows where a chauffeur takes over.

What does an airport meet and greet service actually include?

A chauffeur meet and greet means a driver who tracks your flight, waits in the public arrivals area with a name board, takes your bags and walks you to the car. Escorts through immigration or fast-track lanes are separate airport-run services, booked with the airport or an authorized provider.

The distinction is legal, not commercial. Everything between the aircraft and the customs exit is controlled by the airport and the border agency, so a private chauffeur cannot walk to your gate at a commercial terminal. The chauffeur's job starts at the customs doors.

Our service page on meet and greet chauffeur pickups covers the add-on itself: board wording, waiting time and how it is booked. This article zooms out to the whole arrival, so you can decide which layers you need on top.

Stage one: the aircraft door to the immigration hall

At a large hub, the walk from a far gate or remote stand to passport control can be long and may involve a train or a bus. Three kinds of help exist here.

An airport terminal
An airport terminal

Airline assistance. Passengers who need a wheelchair or extra help should request it through the airline when booking the flight. The airline's assistance team usually meets you at the aircraft door. Tell the chauffeur's desk too, because assisted passengers usually leave the customs hall later than others on the same flight.

Airport meet-and-assist. Many hubs license a company to sell escorts that start at the gate. At Dubai International, the marhaba service lists arrival, departure and transfer meet-and-greet packages, with fast track through immigration at select locations, alongside lounges and porter-style help.

Private terminals. Some airports run a separate VIP terminal for premium passengers, with security and immigration processed in a suite and a car taking you to and from the aircraft. Those are expensive, limited and booked directly with the airport. Our sibling guide to airport VIP terminals covers how they work and when they are worth it.

What does "fast track" at the airport mean?

"Fast track" is used loosely and can mean three different things.

An airport arrivals hall
An airport arrivals hall
  1. A paid lane at security or immigration, sold by the airport or bundled with a premium ticket.
  2. A government trusted-traveler or automated border program, which you enroll in once and use on every trip.
  3. An escort, where a meet-and-assist agent walks you to a priority channel.

For frequent travelers the second category usually pays back fastest, because it works on every trip. Two examples from official sources:

  • United States. U.S. Customs and Border Protection describes Global Entry as expedited clearance for pre-approved, low-risk travelers arriving in the US. CBP lists a $120 application fee for five years of membership, a background check and an interview for first-time enrollment, and TSA PreCheck access included. For travelers who do not qualify, CBP's Mobile Passport Control app is free, needs no enrollment, and is available to US citizens, lawful permanent residents, Canadian B1/B2 visitors and returning Visa Waiver travelers with an approved ESTA. CBP says up to 12 people can share one submission.
  • United Kingdom. The Home Office guidance on faster travel through the UK border says eGates are normally open to British and Irish citizens and to holders of valid status, such as an ETA, from a list of countries that includes the EU, the USA, Canada, Australia, Japan and Singapore. Users need a biometric passport, must be 8 or over (8 to 17-year-olds accompanied by an adult) and at least 120 cm tall.

On the departure side, the TSA PreCheck page lists a five-year enrollment for $85 or less, and says members can keep shoes, belts and light jackets on and leave electronics and 3-1-1 liquids in the bag. TSA also notes that no one is guaranteed expedited screening on any given day.

Why does this matter when booking a car? Because it changes when you walk out. A trusted-traveler member with a carry-on can be landside long before a passenger on the same flight who queues in the general lane and waits for checked bags. Tell the desk which you are.

Stage two: baggage, customs and the hall nobody plans for

Once through immigration you collect bags and pass customs, and the chauffeur waits beyond the customs doors in the public hall. Nobody can speed up a slow carousel, but a few habits help:

View from an airplane window
View from an airplane window
  • Message the desk when you clear immigration. It tells the chauffeur that you are now on the clock for bags, not for passport control.
  • Count the bags before you leave the belt. Report a missing bag at the airline's desk inside the hall; you cannot go back through the customs doors.
  • Ask for a trolley or porter if you need one. Chauffeurs help once you are in the public hall; inside the baggage area you are on your own or with airport porters.

International arrivals booked through LimousineWorldwideDirectory.com include 60 minutes of free waiting after landing, domestic arrivals 30 minutes, and other pickups 15 minutes. Flight tracking is included on every airport pickup, so the clock starts at the actual landing time, not the scheduled one.

Need the car for your next arrival? Price it here; the fare is confirmed before you pay.

Stage three: the name board and the meeting point

This is where the chauffeur's work becomes visible. A good handover has three ingredients: a predictable spot, a recognizable sign and a quick confirmation that the right person has met the right driver.

The spot. Busy airports publish designated meeting points, and professional drivers use them. Heathrow, for example, lists a meeting point in each terminal's arrivals area on its meeting points page: opposite the international arrivals exit in Terminal 2, by WHSmith in Terminal 4, and two points in Terminal 5, one opposite Travelex and one near Costa Coffee. The same page reminds visitors that nobody may wait on the terminal forecourt, which is exactly why a chauffeur meets you inside and walks you out.

The sign. The board can show your surname, a company name or an agreed alias. For public figures and senior executives, an alias is common practice; our guide to discreet travel and NDAs with a chauffeur explains how aliases, confidentiality agreements and need-to-know briefings fit together.

The check. The chauffeur should be able to state your name and destination before taking a bag. If you are traveling for a company, tell the travel booker to include a code word or the driver's name and phone number in the confirmation. It takes ten seconds and prevents the occasional mix-up in a hall full of boards.

Stage four: the walk to the car

The last stage is where airports differ most. Some allow pre-booked cars to wait at a short-stay garage a few minutes' walk from arrivals. Others route all private hire vehicles to a designated pickup zone. A few, mainly in parts of Asia and the Gulf, run tightly controlled forecourts where a car is called up only when the passenger is ready.

What this means for you:

  • Expect a short walk. At many airports the car is parked, not waiting at the door. The chauffeur pushes the trolley.
  • Bring the right vehicle for the bags. An Executive Sedan takes up to 3 passengers with 2 large and 2 cabin bags; a Luxury SUV takes up to 6 with 5 to 6 large bags; an Executive Sprinter takes 12 to 14 people and 12 bags. See the fleet page for classes, and our guide to Sprinter vans with a driver if you are moving a group.
  • Child seats are fitted before you arrive if you asked for them at booking with the children's ages.

Airport examples: how the handover changes by city

Every airport has its own rhythm. A few examples from cities our desk covers often:

London Heathrow. Heathrow to the West End is about 24 km (15 miles) and typically 45 to 90 minutes by road, depending on the M4 and the time of day. Terminal 5 has two meeting points, so the confirmation should name one. See the Heathrow airport page for terminal notes.

New York JFK. JFK to Midtown Manhattan is about 24 km (15 miles), usually 40 to 90 minutes. Terminal works mean the arrival door can change, so the chauffeur follows the terminal printed on your airline confirmation. Our JFK page explains the meeting arrangements, and the New York hourly chauffeur guide covers what happens after the airport if you keep the car.

Dubai International. DXB is about 15 km (9 miles) from Downtown Dubai, often 15 to 30 minutes outside peak hours. A marhaba escort can hand you over to your chauffeur at the arrivals exit, so tell our desk the package name and the escort's meeting plan. See Dubai International.

Private aviation. At an FBO the logic changes entirely: there is no public hall, and at many fields a vetted car can meet you at or near the aircraft. Read our guide to planeside FBO car service and the private jet car service page.

Departures: meet and greet in reverse

The chain also runs the other way. On departure, the chauffeur drops you at the correct terminal door, unloads bags and, where the airport permits, helps you to a trolley or porter. A few planning points:

  1. Work back from the bag-drop cut-off, not the departure time. Every airline publishes check-in and bag-drop deadlines for each route; find yours on the booking and plan from it.
  2. Add the drive time at the real hour. Heathrow at 7:00 on a weekday is a different drive from Heathrow at 11:00 on a Sunday.
  3. Combine with the airport's departure services if you bought them. An airport escort, lounge or fast-track lane starts at the terminal door. Tell the desk where the escort meets you.

How to book a meet and greet that works first time

The service is only as good as the details given at booking. Include:

  • Flight number, date and arrival terminal if known.
  • Number of passengers, bags and any oversize items such as golf bags or skis.
  • The board wording: name, company or alias.
  • Any airport escort you have booked, with its meeting point.
  • A mobile number that works on arrival, plus a backup contact.
  • Destination address and any stop on the way.

Book in the online booker, which shows the exact fare before you confirm, or ask a hotel concierge or travel advisor to book on your behalf through hotel concierge bookings. For airport-specific notes, browse the airports index and the airport car service page.

If plans change, the cancellation policy is measured from the scheduled pickup time: more than 72 hours' notice is free; inside 72 hours 10%; inside 48 hours 50%; inside 24 hours or a no-show 100%.

Frequently asked questions

Can my chauffeur meet me at the gate?

Not at a commercial terminal. Gates, immigration and baggage reclaim are controlled areas, so a chauffeur waits in the public arrivals hall. For help from the gate, book the airport's own meet-and-assist service or request assistance from your airline, then let the chauffeur take over at the exit.

Is fast track the same as a meet and greet?

No. Fast track is a priority lane or program at security or immigration, run by the airport or a government agency. A chauffeur meet and greet starts after customs, with a name board, bag handling and the walk to the car. Many travelers combine the two on long-haul arrivals.

How long will the chauffeur wait if immigration is slow?

International arrivals include 60 minutes of free waiting after the actual landing time, domestic arrivals 30 minutes and other pickups 15 minutes. Flight tracking moves the pickup with any delay. If you expect a very long queue, message the desk so the wait can be extended.

Can the board show a company name or alias instead of my name?

Yes. Give the desk the wording you want displayed and the real passenger name, so the chauffeur knows who to look for. Aliases are common for executives and public figures, and the chauffeur confirms identity quietly before taking any bags.

Do I need a meet and greet if I know the airport well?

Usually not. A seasoned traveler with light luggage can use a standard flight-tracked pickup at the published meeting point. The name board is most useful on a first visit, with children or heavy bags, or when you land straight into a tight schedule.

Can a hotel or assistant book the meet and greet for me?

Yes. Assistants, travel advisors and hotel concierges can book on a guest's behalf and receive the confirmation, which names the meeting point and the vehicle. Trade and corporate accounts are available, and the fare is shown in the booker before anything is confirmed.
