Learning how to book a private jet is mostly learning what information an operator needs and in what order. There is no seat map and no fare class. Instead you hire an entire aircraft and its crew for a trip, and the price, the aircraft and the schedule are built around your brief. Get the brief right and everything after it moves quickly.

Below is the full sequence in eight steps, with what you do, what the booking agent or operator does, and the questions worth asking along the way. It is written for first-time flyers, family offices setting up their first trip, and assistants booking for a principal.

Request a charter quote

What are the steps to book a private jet?

Write a trip brief, request quotes, compare aircraft and operators, verify the operator's certificate, review and sign the charter agreement, pay, send passenger details for the manifest, then confirm ground transport at both ends. For a domestic trip this can happen within a day; international trips need extra lead time for border filings and permits.

Step 1: Write a proper trip brief before you ask for prices

The brief is the single document that decides your quote. Operators price whole aircraft, so the details that matter are the ones that change aircraft size or flying time:

A golf course
  • Route and airports. City pairs are not enough. New York has Teterboro, Westchester, Republic and the major airline airports; Los Angeles has Van Nuys, Burbank and others. Say where you are starting from by road and let the planner suggest the airport. Our private aviation hub shows the main business airports we serve.
  • Dates and times, with flexibility. "Leave Friday after 2 p.m., back Sunday evening" gives the operator room to price well.
  • Passengers. The exact number, including children and any pets.
  • Baggage. Count bags and name the awkward items: golf clubs, skis, strollers, cases of wine. A light jet can be full long before its seats are.
  • One-way or round trip. One-ways often carry the cost of flying the aircraft home empty, so say so if you might return.
  • Priorities. Lowest price, newest aircraft, Wi-Fi, a lavatory, a flight attendant, a stand-up cabin. Rank them.

If you are booking for someone else, add how much the principal values privacy. That affects FBO choice, the name on the manifest the crew sees at the door, and the driver's briefing.

Steps 2 to 4: Quotes, comparison and operator checks

Step 2: Request quotes the right way

You can book a private jet directly with an operator, through a charter broker or booking agent, or through a membership or card program. Each model has trade-offs, which our sibling article on private jet broker vs operator covers in detail.

In the United States, the Department of Transportation regulates charter brokers. Under 14 CFR 295.23, a broker's solicitation materials and advertisements, including web pages, must state clearly that it is an air charter broker, not a direct air carrier in operational control of aircraft, and that the flight will be provided by a properly licensed direct air carrier. NBAA's summary of the DOT air charter broker rule notes it took effect on February 14, 2019 and that refunds may be owed if required disclosures are not provided within a reasonable time.

LimousineWorldwideDirectory.com works as your booking agent. Every flight is operated by a licensed air carrier, such as an FAA Part 135 operator in the US or a European carrier with an air operator certificate, which holds operational control. We do not own or operate aircraft. Send your brief through the private jet charter form or call (877) 860-3388.

Step 3: Compare quotes line by line

Two quotes for "a midsize jet" can differ widely, and the cheapest is not always the better deal. Look at:

  • Aircraft type and year. The model sets cabin size and range; the year and refurbishment set comfort.
  • Routing. A fuel stop, or a different departure airport, changes total trip time.
  • Repositioning. If the aircraft must fly empty to reach you or get home, that time is in the price.
  • Taxes and fees. On US domestic trips, the IRS sets a 7.5% tax on amounts paid for taxable air transportation of persons, which Publication 510 says includes movement of aircraft in deadhead service. The same publication lists a 2026 domestic segment tax of $5.30 per segment and explains that on a chartered aircraft it is multiplied by the number of passengers carried, plus a 2026 international facilities tax of $23.40 per person for flights that begin or end in the US.
  • Extras. Catering, overnight crew costs, de-icing, landing and handling fees, Wi-Fi charges and peak-day surcharges.

For a deeper breakdown of each line, read our sibling guide on how a private jet charter quote is built.

Step 4: Verify the operator before you commit

This step is the one first-time flyers skip, and it is the one the FAA keeps warning about. In its guidance on illegal air charters, the FAA advises passengers to ask whether the aircraft operates on an FAA-issued air carrier or operating certificate and, if needed, to request a copy of the operator's operations specification (D-085), which shows that the specific aircraft is authorized. The agency has also stated in its charter guidance to pilots and passengers that paid pilots generally must be employed by a company holding a Part 119 certificate, or hold one themselves.

Beyond the legal minimum, many corporate travel policies also look for third-party safety audits:

  • IS-BAO, the International Standard for Business Aircraft Operations from IBAC, is a voluntary standard launched in 2002 that registers operators in three stages of safety management maturity, according to IBAC's IS-BAO page.
  • ARGUS runs operator audits and a public operator registry, with audit levels including Platinum and Gold, as described on the ARGUS website.

A legitimate operator will share its certificate details and audit status quickly. If it will not, choose another.

Steps 5 to 7: Contract, payment and manifest

Step 5: Read the charter agreement

The contract is where surprises hide. Check four things before you sign:

  1. Cancellation terms. Charter cancellation schedules are set by each operator and are usually stricter than airline rules, often with steep fees close to departure.
  2. Change policy. What happens if you add a passenger, move the time or add a stop.
  3. Substitution. Whether the operator may substitute a different aircraft or operator if the booked jet goes unserviceable, and what class of aircraft you are entitled to.
  4. Weather and delays. Who pays if the crew runs out of duty time or the destination closes.

Our sibling guide to private jet charter contracts and cancellation terms explains the clauses in detail.

Step 6: Payment and confirmation

First-time clients are usually asked to pay in full before departure, by wire transfer or card, according to the operator's terms. Once funds clear, the aircraft is held for you. Keep the written confirmation: it should name the operator, aircraft type and tail number, the departure FBO and the times.

Step 7: Passenger manifest and special requests

The operator now needs each passenger's full name exactly as on the travel document, plus date of birth and passport or ID details. For trips crossing borders, the filings are time-bound. US Customs and Border Protection says on its general aviation processing page that APIS manifest information is required of all general aviation operators, and that changes to a submitted manifest require an updated transmission and reconfirmed permission to land. Late guest changes are the most common cause of delays on international trips.

This is also the moment for catering preferences, allergies, child seats, pets and any security arrangements.

Step 8: Travel day, from the curb to the cabin

Private aviation saves most of its time on the ground, and the car is part of that.

Getting to the FBO. You depart from a fixed-base operator, the private terminal on the airport, not the airline terminal. Give your driver the FBO name and tail number. Plan realistic drive times: Midtown Manhattan to Teterboro is about 20 km (12 miles) and 30 to 60 minutes; Beverly Hills to Van Nuys about 26 km (16 miles) and 25 to 50 minutes. Our Teterboro FBO guide and Van Nuys FBO guide explain the terminals.

Arrival time. Operators commonly suggest arriving a short time before departure for domestic flights and allowing longer for international departures where documents are checked. Follow the operator's instruction; the crew sets the timing.

At the aircraft. The captain or flight attendant gives a safety briefing. Depending on the airport and FBO, your car may be allowed to drive to the aircraft, or you walk through the FBO. Our sibling guide to FBO car service and planeside pickups explains the rules.

At the destination. Book the arrival car at the same time as the flight. Our private jet car service times the pickup to the operator's live arrival estimate, with meet and greet at the FBO door if you want someone to handle bags. For a full day of meetings, an hourly chauffeur on as-directed time saves rebooking.

For ground bookings, our free waiting time is 60 minutes after international landings, 30 minutes after domestic landings and 15 minutes for other pickups. Cancellations are free more than 72 hours before pickup, 10% inside 72 hours, 50% inside 48 hours and 100% inside 24 hours or for a no-show.

Common first-timer mistakes

  • Underestimating luggage. The aircraft fits the seats but not the ski bags.
  • Choosing the airport before the aircraft. Let the planner match runway, aircraft and drive time.
  • Comparing quotes on hourly rate alone. Repositioning, fees and taxes can change the total.
  • Not asking who operates the flight. You should always know the operator's name.
  • Booking the jet but not the car. A late or wrong-terminal pickup erases the time you paid to save.

Frequently asked questions

How far in advance should I book a private jet?

For a domestic trip on a normal week, a few days is usually enough, and same-day bookings are often possible. Book earlier for holidays and major events, when aircraft and FBO parking fill up, and for international trips that need border filings or permits. Earlier booking also gives you more aircraft to choose from.

Can I book a private jet for just one person?

Yes. You charter the whole aircraft, so the price is the same whether one person flies or the cabin is full. Solo travelers often choose a light jet or turboprop to keep costs down. If price matters most, ask about one-way repositioning flights along your route, which are sometimes offered at a lower rate but with fixed timing.

Do I need a passport to fly on a private jet?

For international trips, yes, and the operator files your details with border agencies before departure. For domestic US flights, operators require government-issued identification and the details needed for the manifest. Ask the operator what it needs when you confirm, and send names exactly as they appear on the documents.

What is the difference between a broker and an operator?

The operator holds the air carrier certificate, employs the crew and has operational control of the aircraft. A broker or booking agent arranges the charter on your behalf with a licensed operator. In the US, brokers must disclose that they are not the direct air carrier. LimousineWorldwideDirectory.com acts as a booking agent and names the operator before you confirm.

How do I pay for a private jet charter?

First-time clients typically pay in full before departure, by wire transfer or card, under the operator's terms. Repeat clients sometimes set up accounts. Check the quote for taxes, fees and possible extra charges such as de-icing or overnight crew costs, and keep the written confirmation showing the operator, aircraft and times.

Should I book the car when I book the jet?

Yes. The car determines whether you reach the FBO on time and leave the destination smoothly. Book both at once, give the driver the FBO name and tail number, and ask for pickup timing based on the operator's live arrival estimate. Our booker shows the exact ground fare before you confirm.
