A Kentucky Derby limo booked without a plan is just an expensive way to sit in traffic on Central Avenue. Booked with the right pass, the right drop-off and an agreed pickup, it is the calmest way to host clients on the busiest day of Louisville's year. The difference lies in details most visitors never see: parking passes that are specific to the vehicle type, drop-off zones that allow no pickups, a private airfield with a weight limit, and shuttle lots that only some ticket holders may use.
This guide is written for hosts, family offices and corporate planners. For the event overview, hotel areas and vehicle classes, see our Kentucky Derby event page.
How does Churchill Downs transportation work on Derby Day?
On Derby Day there is no onsite taxi or rideshare drop-off at Churchill Downs. Cars either hold a pre-purchased, vehicle-specific parking or drop-off pass, or they use the rideshare area at L&N Stadium's Bronze Lot, followed by a walk. Pickups need their own plan, because the Derby Drive drop-off pass allows no pickups.
Those rules come from the track's own travel and parking page, which publishes the plan for each day of Derby Week. The version online at the time of writing describes the 2026 meet; the track updates it before each Derby, so confirm the current year's details before you finalize anything.
When is the 2027 Derby, and which days need cars?
The official Kentucky Derby site lists the 153rd Kentucky Derby for Saturday, May 1, 2027, with post time scheduled for about 6:57 p.m. Eastern. The Kentucky Oaks runs the day before, on Friday, April 30. Many corporate hosts entertain on Oaks day and keep Derby Day for principals.

Plan transport separately for each day you attend. In the 2026 plan, onsite rideshare was available earlier in the week at Kentucky Derby Drive, while Thursday, Oaks and Derby days moved rideshare to the Bronze Lot at L&N Federal Credit Union Stadium. A car plan that works on a Tuesday will not work on the Saturday.
Kentucky Derby private jet: SDF or Bowman Field?
Louisville offers two airfields, and the choice depends mostly on the size of the aircraft.

Louisville Muhammad Ali International (SDF). The city's main airport, operated by the Louisville Regional Airport Authority. It is the usual field for aircraft that exceed Bowman Field's limits, including most midsize, super-midsize and large cabin jets. It sits roughly 5 km (3 miles) from Churchill Downs, normally 10 to 20 minutes by car.
Bowman Field (LOU). The authority's general-aviation field, established in 1919 and described by the airport authority as one of the longest continuously operating general aviation airports in the United States. Its published data explains why it suits only some aircraft: the runways measure 3,200 feet and 3,032 feet threshold to threshold, and the field has a 30,000-pound weight limit. It lies about five miles from downtown, so roughly 11 km (7 miles) and 15 to 25 minutes from the track outside Derby traffic.
| Factor | SDF | Bowman Field |
|---|---|---|
| Typical aircraft | Light jets through large cabin jets | Piston, turboprop and lighter jets within the 30,000 lb limit |
| Runways | Full commercial airport | 3,200 ft and 3,032 ft threshold to threshold |
| Distance to Churchill Downs | About 5 km (3 mi) | About 11 km (7 mi) |
| Drive outside Derby traffic | 10 to 20 min | 15 to 25 min |
| Watch for | Handling and parking demand during Derby Week | Aircraft weight and runway length limits |
Your charter operator decides which field the aircraft can use, because the operator holds operational control. If you still need the aircraft, our private jet charter desk acts as your booking agent with licensed air carriers. Once the tail number, handler and landing window are fixed, send them to the desk so the chauffeur meets the aircraft; our private jet car service page shows what we need, and the guide to what an FBO is explains the private terminal side. Planning a group flight for clients? Read corporate private jet charter first.
Other airports work for guests combining the Derby with a wider trip: Lexington is about 130 km (80 miles), around 1 hour 15 minutes by road, which suits a horse-farm visit, and Nashville about 270 km (170 miles), roughly 2.5 hours. Our long-distance car service page explains how those runs are booked, the Nashville limo service page covers that city, and the private aviation hub lists the airfields we cover.
Why do parking passes have to match the vehicle?
This is where Derby plans most often fail. The track's travel page states that parking passes are vehicle-specific (car, limo, mini-bus, motor coach), and that wrong vehicle types are denied entry on Oaks and Derby days. Physical passes for buses, Sprinter vans and limousines are mailed to purchasers rather than issued digitally. There is also no re-entry once a vehicle leaves a parking lot.

What that means for a host:
- Decide the vehicle before buying the pass. A pass bought for a car will not admit a stretch limousine or a Sprinter.
- Get the physical pass to the chauffeur. If the pass is mailed to you, arrange the handover with the desk before Derby morning.
- Do not plan mid-day runs out and back. Without re-entry, the car that parks stays parked until you leave.
The alternative is the Derby Drive drop-off pass on Warren Avenue between Queen and Thornberry, which buses and cars could pre-purchase in 2026. It is drop-off only: no pickups are allowed, and the pass is surrendered at drop-off. That works well for arrival but needs a separate pickup plan, usually the Bronze Lot at L&N Stadium or a parked car with a matching pass.

What do the official shuttles offer, and who can use them?
The track runs a free shuttle from the Kentucky Exposition Center to the Black Lot by the Paddock Gate. In the 2026 plan, Expo Center parking was included with frontside tickets, shuttles started at 8 a.m. on Derby Day, and on Oaks and Derby days only frontside tickets gave access to Expo Center parking and the shuttle. Infield ticket holders could not use it.
| Option | Who can use it | Strength | Limitation |
|---|---|---|---|
| Expo Center parking and shuttle | Frontside ticket holders (2026 plan) | Included with ticket; predictable | Queues on the way out; not for infield tickets |
| Rideshare at L&N Stadium Bronze Lot | Anyone with a rideshare booking | No pass needed | Walk to the gates; long waits after the last race |
| Derby Drive drop-off pass | Pre-purchased by cars and buses | Close drop-off | Drop-off only; no pickups |
| Onsite parking with a vehicle-specific pass | Buyers of the correct pass type | Car waits on site | No re-entry; pass must match the vehicle |
| Chauffeur with a staged pickup | Hosts, groups, formal attire | One plan, one contact | Still subject to the zones above |
When is a chauffeur not worth it? If you are one or two people with frontside tickets, comfortable shoes and no plans after the races, the Expo Center shuttle is included and perfectly sensible. If you hold infield tickets and are traveling light, rideshare to L&N Stadium and the walk may be enough. A chauffeur earns its fee when you host clients, travel in formal dress, move a group that must stay together, arrive by private aircraft on the morning itself, or have a dinner reservation that cannot slip. It also helps on Thursday and Oaks day, when hosts often run two programs in parallel and need one contact holding both.
Accessibility needs careful planning. The track states that it does not offer wheelchair transfer service and cannot provide wheelchair assistance once a guest is dropped off, although ADA-accessible shuttles run in the lots. If anyone in your party has limited mobility, tell the desk at booking so the drop-off point, the walking distance and the companion arrangements are agreed in advance.
Which vehicle works best for a Derby group?
Derby guests dress formally, hats included, and many hosts move six to twelve people together. A Luxury SUV carries up to six with room for hats and garment bags. An Executive Sprinter carries 12 to 14 and keeps a client group together. Stretch limousines remain popular for the occasion, and in Kentucky they operate under state authority: the Kentucky Transportation Cabinet's passenger vehicle section issues intrastate certificates for limousines, states that vehicles under a limousine certificate may not have more than fifteen regular seats, and requires liability coverage under state law. Every operator we place is vetted, licensed and commercially insured.
Whatever you choose, match the pass to the vehicle. Our fleet page lists classes and capacities, and the corporate car service page covers monthly invoicing for company programs.
A host's timeline for Derby Day
- Weeks before: confirm tickets by area, buy the correct vehicle-specific pass or the drop-off pass, and book the car type that matches it.
- Day before: chauffeur confirms the route given the street closures (Central Avenue is closed around the track during the big days), and the physical pass is handed over.
- Morning: lots opened at 8 a.m. on Derby Day in 2026; arrive early, because the crowd builds through the morning.
- Afternoon: the car is parked or released, depending on the pass.
- After the last race: walk to the agreed pickup, or wait out the first wave; the chauffeur messages when staged.

Before and after the races
Louisville Tourism's official visitor site describes the city as the official starting point of the Kentucky Bourbon Trail, with more than two dozen bourbon experiences. A chauffeured distillery day suits the quiet day after the Derby (licensed hosts run tours inside the distilleries). Our visitor guide to Churchill Downs covers the track on a non-race day. Hotel concierges can book for guests through hotel concierge bookings. Comparing the British season? See Wimbledon and Royal Ascot chauffeur planning and the Royal Ascot event page.

Frequently asked questions
Can a Kentucky Derby limo drop me at the gate?
Not as a curbside stop. On Oaks and Derby days there is no onsite taxi or rideshare drop-off. A limousine needs a pre-purchased, vehicle-specific parking pass or a Derby Drive drop-off pass, otherwise guests are dropped at the rideshare area at L&N Stadium and walk.
Which airport is best for a Kentucky Derby private jet?
SDF suits most business jets and is about 5 km (3 miles) from Churchill Downs. Bowman Field is closer to downtown but has short runways and a 30,000-pound weight limit, so it works only for lighter aircraft. Your charter operator confirms which field is suitable.
Does the Derby Drive drop-off pass include pickup?
No. In the most recent published plan, the Derby Drive pass on Warren Avenue was drop-off only, with no pickups, and the pass was surrendered at drop-off. Arrange a separate pickup, such as the L&N Stadium Bronze Lot or a parked car with a matching pass.
Can I use the Expo Center shuttle with an infield ticket?
Not under the 2026 rules. On Oaks and Derby days only frontside tickets gave access to Kentucky Exposition Center parking and the free shuttle to the Paddock Gate area. Infield guests used other options, such as rideshare at L&N Stadium followed by a walk.
What time is the 2027 Kentucky Derby?
The official site lists the 153rd Kentucky Derby for Saturday, May 1, 2027, with post time scheduled for about 6:57 p.m. Eastern. The Oaks runs on Friday, April 30. Gates and lots open in the morning, so most guests arrive hours earlier.
Is there wheelchair assistance at Churchill Downs?
The track says it does not offer wheelchair transfer service and cannot provide wheelchair assistance once a guest is dropped off, although ADA-accessible shuttles run in the lots. Tell the desk at booking so drop-off, walking distance and companion help are planned in advance.
